Four workflow gaps that put project margin at risk

How gaps between the field and office hide changes, slow approvals and create avoidable administrative work.

Project margin is not protected by one dashboard. It is protected by a series of small, reliable handoffs: what changed, who saw it, what it costs, who approved it and what happens next.

When those handoffs depend on memory, scattered messages or side spreadsheets, the problem is not only administrative. The company can lose visibility before it has a chance to act.

1. A field change is recorded without commercial context

A note or photo may document that work changed, but it does not automatically create a priced, owned and tracked item. A useful workflow links the field record to scope, responsibility, pricing and status.

2. Pricing and approval live in separate channels

The request may begin in email, pricing may happen in a spreadsheet and approval may arrive in a message. Without a common identifier and status, the team spends time reconstructing the history.

3. The same information is entered into multiple systems

Duplicate entry increases the chance that systems disagree. It also delays reporting because someone must reconcile the records before anyone trusts them.

4. Reports show the past but do not trigger the next action

A report has limited value if unresolved items are not assigned and followed. Good reporting should connect information to ownership and deadlines, not simply produce another document.

What a better workflow looks like

A stronger change workflow usually provides:

  • One identifier from the first record through approval.
  • A visible owner and next step.
  • Source documents linked to the item.
  • Clear status for scope, pricing and approval.
  • Notifications based on rules rather than memory.
  • A history that can be reviewed later.

The exact implementation depends on the systems already in place. It may be an integration, a lightweight register, an automated routing flow or a custom interface over existing data.

The goal is not to add another place to update. It is to make the existing handoff reliable enough that the team can see and protect the commercial outcome.
